    1. Partners – Rental property owners; and other potential partners who would like to cooperate with Pinio, and have expressed this willingness by contacting us through the website.
    2. Partners’ employees – users and administrators of the Pinio.io system for the Partner’s real estate, employees of cleaning companies and technical service companies of rented properties;
    3. Guests – tenants who have received access to the Partner’s property;
    4. Recipients of marketing newsletters – people who subscribed to the marketing newsletter prepared by us;
    5. Blog subscribers – people interested in topics on our company blog;
    6. Job candidates – people recruited for our company;
    7. Service users – users of the Pinio.io website.
  3. Purposes of processing and legal grounds
    1. We process Partners’ data in order to:
      1. promote and advertise the activities, products, and services offered by Pinio.io (in the case of persons who have given their consent and only to the extent specified in such consent) – according to art. 6 clause 1 lit. a GDPR and for no longer than until you withdraw your consent;
      2. conclude and implement contracts with Partners – according to art. 6 clause 1 lit. b GDPR and for no longer than until the expiration of claims related to these contracts;
      3. fulfilling the obligations imposed on Pinio.io by regulations, e.g., tax law, the Accounting Act – according to art. 6 clause 1 point c of the GDPR and no longer than for the period of limitation of claims determined by these provisions;
      4. promote and advertise the activities, products, and services offered by Pinio.io (in the case of persons who have given their consent and only to the extent specified in such consent) – according to art. 6 clause 1 lit. a GDPR and for no longer than until you withdraw your consent;
      5. pursue legitimate interests of Pinio.io – according to art. 6 clause 1 lit. f GDPR), i.e. the promotion and advertising of our activities, services, and products (no longer than until the objection is raised), possible claims, archiving for the purposes of protecting our legal interest (no longer than until these objectives are achieved).
    2. We process Partners’ employees data in order to:
      1. promote and advertise the activities, products, and services offered by Pinio.io (in the case of persons who have given their consent and only to the extent specified in such consent) – according to art. 6 clause 1 lit. a GDPR and for no longer than until you withdraw your consent;
      2. prepare and conduct service contracts, e.g. maintenance of contracts related to the operation of access facilities to the Partner’s property – according to art. 6 clause 1 point b of the GDPR and no longer than until the expiry of claims related to the contract;
      3. pursue legitimate interests of Pinio.io – according to art. 6 clause 1 lit. f GDPR, i.e. the implementation of the agreement concluded with the Partner, technical and administrative maintenance of the Pinio.io system, provision of cleaning services, pursuing possible claims, archiving for the purposes of protecting our legal interest (no longer than until these objectives are achieved)
    3. We process Guest data in order to implement contracts with our Partners, i.e. owners of rental properties, where the Partners are those who determine the rules for processing personal data. We encourage Guests to obtain information from our Partners. Unless the Partners specify otherwise in their documents, most often the legal basis will be the implementation of the lease agreement concluded between the Guest and our Partner, the implementation of obligations imposed by the provisions and the implementation of the legally justified interest of our Partner consisting in ensuring the security of his property, equipment efficiency and real estate infrastructure, efficient rental services and punctual provision of cleaning companies services, pursuing possible claims. We process Guest data on behalf of the Partners in accordance with the agreements concluded with them, no longer than 30 days from the date of checking out of the rented property.
    4. We process Recipients of marketing newsletters data and Blog subscribers data in order to:
      1. promote and advertise the activities, products, and services offered by Pinio.io (in the case of persons who have given their consent and only to the extent specified in such consent) – according to art. 6 clause 1 lit. a GDPR and for no longer than until you withdraw your consent; When sending newsletters, we use automated processing, including profiling, to ensure that the content of newsletters best matches their interests;
      2. send bulletins (in the case of people who have agreed to this and subscribed to the newsletter – according to art.6 par.1 lit.a RODO – no longer than until the consent is withdrawn);
      3. pursue our legitimate interests – according to art. 6 clause 1 lit. f RODO), i.e. the promotion and advertising of our activities, services and products (no longer than until the objection is raised), possible claims, archiving for the purposes of protecting our legal interest (no longer than until these objectives are achieved). In the case of redress or protection of the legal interest of Pinio.io, we use automated processing including profiling;
    5. We process Job Candidates data in order to:
      1. conduct a specific recruitment procedure (art.6 par.1 lit.b GDPR) – to the extent specified in the law, while other data, including additional contact details, based on consent (art.6 par.1 lit.a GDPR), which may be revoked at any time. If the documents sent contain specific category data (sensitive data), you will need to add your consent to let us process them (Article 9 (2) (a) of the GDPR), which can be revoked at any time. Your data collected in a specific recruitment process will be stored until the end of the recruitment process, i.e. the end of the trial time with the person who has been selected for the position.
      2. carry out subsequent recruitments, if you agree (art.6 par.1 lit.a GDPR), which can be canceled at any time. In this case, your data will be processed for 24 months.
    6. We process Service Users data in order to:
      1. promote and advertise products offered by Pinio.io and Pinio.io Partners (in the case of persons who have given their consent and only to the extent specified in such consent) – according to art. 6 clause 1 lit. a GDPR and for no longer than until you withdraw your consent. More information can be found in the Cookies Policy;
      2. monitor users’ activity in the service – in order to adapt and optimize the displayed content to your needs – which is our justified goal based on art. 6 clause 1 lit. f GDPR – no longer than until an objection is made, for this purpose in some cases we use profiling to tailor our marketing communication on third party websites to your interests. More information can be found in the cookies policy;
      3. reply your questions – which is our justified goal based on art. 6 clause 1 lit. f GDPR – no longer than required by the implementation of the purpose or the limitation period for claims.
  4. Processing Time
    1. Your personal data will be stored for the time necessary to achieve each of the purposes listed above.
    2. You can use the website to give Pinio consent for sending commercial information by electronic means regarding the services we offer, as well as the products and services of our Partners. This consent is voluntary and may be withdrawn at any time (e.g., by sending an e-mail to the address: contact@pinio.io).
    3. When the processing of personal data is based on your consent, you have the right to withdraw this consent at any time, but this will not affect the lawfulness of the processing that was carried out on the basis of consent before its withdrawal.
  5. Data recipients
    1. We may make available your data to e.g. accounting, legal and IT companies (in particular HubSpot.com), courier companies, providing data hosting services (including Amazon AWS), lessors (LeaseLinks Sp. z o.o.), SMS communication platforms (Dcs.pl Sp. z o.o.), recruitment companies, companies providing cleaning services of rented premises, claims adjusters, service contractors as part of claims settlement, marketing agencies, entities providing ad broadcasting services, other data controllers connected to the cookie identifier (in accordance with the Cookies Policy below).
    2. In cases where payments are made by external online payment providers (PayU SA in particular), your data, including contact details (name, address and email address) and transaction details will be forwarded to these providers to process payments and to fulfill their legal obligations. While making a payment, you will be informed about the supplier’s company and about the details of the data processing carried out by a specific data controller.
    3. In some cases, we may share your personal data outside the European Economic Area, but then we make sure that you can exercise all the rights and freedoms set out in the relevant provisions (mentioned above – HubSpot.com and Amazon AWS)
  6. Rights of people whose personal data we process
    1. You have the following rights:
      1. the right to access personal data, including the right to obtain a copy of this data;
      2. the right to request rectification (correction) of personal data when the data is incorrect or incomplete;
      3. the right to request deletion of your personal data (so-called “right to be forgotten”);
      4. the right to request the restriction of the processing of personal data;
      5. the right to request the data portability;
      6. the right to withdraw your consent;
      7. the right to object to data processing – in particular, if it takes place for the purposes of direct marketing;
      8. the right to lodge a complaint to the Supervisory Body, which is for Poland, the General Inspector of Personal Data in Warsaw, ul. Stawki 2, 00-193 Warsaw (after 25 May 2018 to the authority being the successor of GIODO) or your national Data Protection Authority (DPA).

  7. Data requirements
    1. Providing your personal data is voluntary, but failure to do so may prevent some services from being provided to you, including sending the newsletter, implementation of contracts concluded with us, answering your questions, or conducting the recruitment process.
    2. In the case of Job candidates, providing your personal data in the scope resulting from art. 221 of the Labor Code is necessary to participate in the recruitment procedure. Providing other data by you is voluntary.
  8. Transfer of data outside the European Economic Area
    1. By downloading some of your data, we use the tools provided by external suppliers that are used to collect information and monitor website traffic and to manage the emission of advertisements. More information on this topic can be found in the Cookies Policy below.
    2. In connection with the use of the technologies set out above, your data will be transferred outside the European Economic Area. In such cases, we make reasonable efforts to ensure that recipients of your data apply appropriate security standards, including maintaining appropriate legal standards, e.g., standards in accordance with the EU-US Privacy Shield agreement or other legal instruments provided by the GDPR.
  9. Changes to Privacy Policy
    1. The privacy policy is being updated periodically. Any changes to the Privacy Policy caused by changes in law or related to changes in the offer of services available in the Service, or the development of the Service’s functionality will be immediately communicated to Users through an announcement on the website or by e-mail sent to those of you having an account on the website. The changes will enter into force within a period not shorter than 14 days from the moment of informing you about the planned changes.

    1. Cookie files are used to facilitate the use of the website. When the browser reconnects to the site, the site recognizes the type of device the user connects to. The information collected relates to the IP address, the type of browser used, language, type of operating system, Internet service provider, time and date information, location, and information sent to the website via the contact form.
    5. We use the tools provided by external suppliers. They are used to collect information, recommend content and monitor website traffic, and to manage the emission of ads. PINIO.IO Sp. z o.o. on the website https://www.pinio.io/ uses the following cookies:
      1. Google Analytics – they monitor user behavior on the site, and collect information about the region from which the user comes;
      2. Adwords Cookie / Google Tag Manager – thanks to these files, depending on the type of campaign, we can see which buttons the users pressed, what movies they watched and how long they played. We store data about behavior for 90 days; they can be used to encourage the user to specific behavior such as filling out a particular form on the website.
      3. Facebook/Linkedin/Twitter Pixel – are used for marketing campaigns on social media.
